Terms of service

The terms on which we work with you: what our consultancy covers, what the consulate decides rather than us, and what each of us is responsible for.

Draft — not yet finalised

Sections marked in amber — fees, refunds, liability and the complaints route — are awaiting confirmation from Europe Visa Centre and must be completed, and this banner removed, before launch. Everything else reflects how we already describe our service.

Who these terms are with

These terms govern your use of this website and any consultancy work you engage Europe Visa Centre to carry out. “We” and “us” mean [TO CONFIRM: registered entity name and company number], trading from 32 Lyndhurst Road, Luton, United Kingdom. “You” means the person we are advising.

We are a private consultancy. We are not a government department, an embassy, a consulate or an official visa application centre, and we are not affiliated with any of them. Nothing on this site is an official government service, and the fees we charge are for our work only — they are separate from any consulate or biometric fee you pay directly.

What we do

We prepare Schengen visa applications so that they are submission-ready. Depending on what you engage us for, that includes:

  • a consultation to establish which visa and consulate apply to you
  • a human review of your documents against the requirements of that consulate
  • preparation of the application form and supporting cover documents
  • hotel reservation dossiers and flight itinerary confirmations
  • travel insurance meeting the Schengen cover requirement
  • guidance on your appointment and what to bring to it

The exact scope of your engagement is whatever we confirm to you in writing before work starts. Anything outside that is a separate piece of work.

What we do not promise

We cannot guarantee that your visa will be granted, and we never will. The decision belongs to the consulate alone. It is theirs to make on their own criteria, and no consultancy — ours included — can influence, expedite or reverse it.

We also do not control appointment availability, consulate processing times, or the return of your passport. Where we quote a turnaround, it is the turnaround on our work, not on the consulate's.

We are not a law firm and we do not provide immigration legal advice or representation. If your circumstances need that, we will say so and tell you to seek it.

What we need from you

Our work is only as good as what you give us. You are responsible for making sure that everything you tell us and every document you send us is true, complete, current and genuinely yours.

We will not knowingly prepare or submit an application containing false information or a falsified document. If we discover one, we will stop work immediately and end the engagement. Beyond the harm to you — a refusal or a multi-year entry ban — it is not something we will be part of.

You are also responsible for attending your own appointment, giving your own biometrics, and keeping your passport valid for the period your destination requires.

Fees and payment

The initial consultation is free and carries no obligation. Beyond that, our fees are [TO CONFIRM: fee schedule, what each fee covers, and when payment is due].

Consulate fees, biometric fees, courier charges and insurance premiums are paid to those providers and are not ours. They are not included in our fee unless we say so in writing, and they are not refundable by us.

Cancelling, and refunds

Our cancellation and refund policy is [TO CONFIRM: refund policy, including what happens once work has started].

Because we agree engagements at a distance, consumers normally have a statutory right to cancel within 14 days under the Consumer Contracts Regulations 2013. Where you ask us to begin work inside that window, the treatment of that right is [TO CONFIRM: whether clients are asked to consent to work starting inside the 14 days, and what is payable if they then cancel].

A refusal by the consulate is not, by itself, a refund event — we are paid for the preparation work, not for an outcome we do not control. What we do offer after a refusal is set out in the “If it goes wrong” section of our why us page, and whatever we confirmed to you in writing takes precedence over both.

Our liability

We will carry out our work with reasonable care and skill, as required by the Consumer Rights Act 2015. If we get something wrong, we will put it right.

Our liability to you is limited to [TO CONFIRM: liability cap, and any professional indemnity cover behind it]. We are not liable for a consulate's decision, for its processing times, or for losses arising from information you gave us that was incomplete or incorrect.

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited.

Your personal data

How we handle personal data is set out in full in our privacy notice. In short: the enquiry form on this site collects only what is needed to answer you and arrange a consultation, we never ask for passport numbers, financial details or document scans through a public web form, and we do not sell your data or use it for marketing.

Using this website

The text, design, photography and guides on this site belong to us or to our licensors, and are for your personal use. Please don't republish them commercially without asking.

Our guides describe requirements as we understood them when we published them. Consulate rules change, sometimes at short notice — treat the guides as orientation, and the consulate's own published requirements, or advice we give you directly, as authoritative.

If something goes wrong

Tell us first. Email info@europevisacentre.co.uk and we will look into it and reply within [TO CONFIRM: complaints response time]. Most things are fixable quickly once we know.

If we cannot resolve it between us, your next step is [TO CONFIRM: escalation route — professional body, ombudsman or ADR scheme, if any].

Changes and governing law

We may update these terms. The version that applies to your engagement is the one in force when we confirmed it in writing — a later change to this page does not alter work already agreed.

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction over any dispute. If you live in Scotland or Northern Ireland you may also bring proceedings in your own courts.
