Draft — not yet finalised
Sections marked in amber are awaiting confirmation from Europe Visa Centre and must be completed, and this banner removed, before launch. Everything else describes what the site actually does today.
Who we are
Europe Visa Centre is the data controller for the personal data described in this notice. Our registered details are [TO CONFIRM: registered entity name, company number and ICO registration number].
You can reach us at info@europevisacentre.co.uk, or by post at 32 Lyndhurst Road, Luton, United Kingdom.
We are a private consultancy and are not affiliated with any government, embassy or consulate.
What we collect
Through the enquiry form on our contact page, we collect only:
- your name
- your email address
- your phone number, if you choose to give it — it is optional
- the destination country you are asking about
- the visa type you are asking about
- your approximate travel month
- whatever you write in the message field
We also record that you ticked the consent box, and when. We do not collect any special category data through this website.
That list covers the form. Separately from it, your visit to the site itself is measured — see cookies and analytics.
What we never ask for here
Our enquiry form does not collect, and we will never ask you to send by email: passport numbers, national insurance numbers, or any other identity document number; bank, card or other financial account details; your date of birth; or scans and photographs of your documents.
None of those are needed to book a consultation. If you become a client and we do need document details later, they are collected through a secure, authenticated channel and never through a public web form. If you receive a message that appears to come from us asking for any of the above, treat it as fraudulent and tell us.
Please don't include any of that information in the free-text message field either. If you do, we will delete it from our records.
Why we use it, and our lawful basis
We use what you send us for one purpose: to answer your enquiry and to arrange and run your free consultation. We do not use it to build a marketing list, we do not sell it, and we do not pass it to anyone outside the firm for their own marketing.
Our lawful basis for processing under Article 6 of the UK GDPR is [TO CONFIRM: lawful basis — consent, legitimate interests (with a documented assessment), or steps prior to entering a contract].
Separately from that basis, the form asks for your explicit consent before you submit it. The box is never pre-ticked, and you can withdraw your consent at any time by emailing us — withdrawing it does not affect anything we did before you withdrew.
How long we keep it
We keep enquiry data only for as long as we need it to deal with your enquiry and any consultation that follows. Our specific retention period is [TO CONFIRM: retention period, and the routine that enforces it].
If you become a client, the data you give us as part of an application is covered by the terms of that engagement rather than by this notice.
Who has access to it
Your enquiry is read by Europe Visa Centre consultants. Beyond that, it passes through the service providers that run this website and our email:
- our website hosting provider, which processes the submission and keeps standard server access logs — [TO CONFIRM: hosting provider and region]
- our email provider, which delivers the notification to us and the confirmation to you — [TO CONFIRM: transactional email provider, once one is in place]
- Google, which serves the Tag Manager script this site loads and therefore sees your IP address and the pages you visit — this one receives nothing you type into the form
Each of these acts as a processor on our instructions and under a contract. We will update this list before adding any new one — including any online booking tool, if we introduce one.
This site also loads Google Tag Manager, so Google receives a record of your visit — see cookies and analytics below.
How we protect it
The site is served over HTTPS, so what you type into the form is encrypted in transit. Submissions are sent by POST and never placed in a web address, so your details do not end up in browser history, referrer headers or server access logs. The form is rate-limited and screened for automated abuse, and we do not write submitted form contents to any application log.
Your rights
Under UK data protection law you have the right to ask us for a copy of the personal data we hold about you; to have it corrected if it is wrong; to have it deleted; to restrict or object to how we use it; and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time.
To exercise any of these, email info@europevisacentre.co.uk. We will respond within one month. There is no charge.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint, or by calling 0303 123 1113. We would rather you came to us first so we can put it right.
Changes to this notice
If we change how we use your data, we will update this page. Where the change is significant we will say so clearly rather than quietly revising the text.
